For a small mental health team, every day runs on two things: who is coming in, and what the clinician needs to know about them. This practice chose to start there.
The Practice: A Small Mental Health Team in Kenya
The practice is a small mental health provider in Kenya. Its name, location and team details are withheld to protect the privacy of its clients and staff.
Like many small practices, the same few people handle bookings, client information and clinical work. Tools that save time on the first two give more time to the third.
The Challenge: Keeping Appointments and Records Under Control
The practice needed a dependable way to manage appointments and keep patient records organised as part of its everyday operations.
In mental health care, both matter more than usual. Appointments are often recurring, and records hold some of the most sensitive information a provider keeps. Under Kenya's Data Protection Act 2019, that information is sensitive personal data.
The Approach: Start With Two Core Workflows
Rather than move everything at once, the practice started with the two workflows it uses every day:
- Scheduling: organising and managing appointments in one shared calendar.
- Patient records: keeping client information in one place, easy for authorised staff to find.
Set-up took approximately one to two weeks. Starting small kept the change manageable for the team, with the option to add billing, reporting or the patient portal later.
What Comes Next: Measuring the Difference
Tymira Health is now working with the practice to understand the impact. Together, we are looking at four questions:
- Has appointment management become easier?
- Are patient records quicker to find when they are needed?
- Has the team spent less time on administration?
- Do daily workflows run more consistently?
We will update this story with the practice's own feedback once it has been confirmed. Running a small mental health practice? Book a demo to see how Tymira360 could fit your workflows.
