Paper-cut dashboard of gauges with calendar, client, chat, coin and heart icons: mental health clinic KPIs

Mental health clinic KPIs are the few numbers that show whether care, operations and finances are healthy. Most clinics should track attendance, no-show rate, time to first appointment, note completion, risk follow-up, outcome measure use, collections and payer ageing. Review them weekly, assign an owner to each, and act on exceptions rather than averages.

What are mental health KPIs?

Mental health KPIs are measurable indicators that show whether patients can access care, stay engaged and receive safe, documented support. They also show whether the clinic is financially sustainable.

A good KPI is specific, owned and reviewed on a schedule. "Patient satisfaction" is vague. "Percentage of new patients seen within seven days of referral" is something a team can act on.

Mental health services differ from general outpatient clinics. Sessions are longer, therapeutic relationships run over months and risk work needs reliable follow-up. KPIs must therefore cover continuity, not just volume.

KPIs are not clinical judgements about individual patients. They describe how the service is working, so leaders can remove friction and protect quality.

Which KPIs should a mental health clinic track?

Most clinics should start with eight to ten KPIs grouped into five areas. Expand the list only when the first set is reviewed reliably.

  • Access: time from enquiry to first appointment, waitlist size and booking conversion.
  • Engagement: attendance rate, no-show rate, late cancellations and drop-out after the first session.
  • Documentation: notes signed within the agreed window and the rate of outcome measure use where clinicians choose them.
  • Risk workflow: open risk flags past their review date and time to supervisor acknowledgement.
  • Finance: collections against billed sessions, outstanding patient balances and insurer or SHA claims ageing.

Every finance KPI should trace back to a session record. Our guide to structured billing for sustainable mental healthcare explains why that link protects revenue.

How do you set up a KPI dashboard step by step?

Set up a KPI dashboard by agreeing definitions first, then automating the data, then fixing the review rhythm. Software choices come after the definitions are clear.

  1. List the decisions leaders make each month, such as hiring, opening hours or fee changes.
  2. Choose one or two KPIs that inform each decision, and write a one-line definition for each.
  3. Confirm the data source, such as appointment status, note sign-off or payment record.
  4. Assign an owner to every KPI, for example the clinic manager, clinical lead or finance administrator.
  5. Set a review rhythm: weekly for operations, monthly for finance and quarterly for strategy.
  6. Agree the action each owner takes when a KPI moves outside its usual range.

Keep the first dashboard to one screen. If a number never leads to a decision, remove it.

Run the new dashboard alongside your old reports for one month. Compare the figures, fix definition gaps and only then retire the spreadsheets. This builds confidence before leaders rely on the numbers.

What should clinics in Kenya and across Africa measure differently?

Clinics in Kenya and across Africa should add KPIs that reflect local payment and funding realities. Mixed payer models make finance KPIs more complex than in single-payer systems.

Track how sessions are paid: M-Pesa, cash, card, private insurer, the Social Health Authority (SHA) or a donor-funded programme. Each channel has different settlement timing and failure points.

NGO-backed services often report to funders on reach and continuity. Build those indicators into routine data capture, rather than compiling them by hand every quarter.

Connectivity also shapes access KPIs. Where patients rely on mobile data, track virtual session completion separately from in-person attendance, so connection problems are not mistaken for disengagement.

Reconciliation is a KPI in its own right. Our guide on how to reconcile clinic payments across M-Pesa, cash, card and insurance shows how to close the loop each week.

How do you keep KPI reporting accurate and compliant?

Keep KPI reporting accurate by drawing numbers from operational records, not separate spreadsheets. When data is re-typed, definitions drift and trust drops.

  • Use the same status values for every clinician, such as attended, no-show and late cancellation.
  • Report aggregated figures and avoid showing individual patient details on dashboards.
  • Limit dashboard access by role, so finance sees finance data and clinicians see clinical queues.
  • Keep an audit trail of who changed a status and when.

Health data is sensitive personal data under Kenya's Data Protection Act 2019. Apply data minimisation to reporting, not only to clinical records.

Finally, treat KPIs as a learning tool. The point is to find friction and fix it, not to rank or punish individual clinicians.

Frequently asked questions

How many KPIs should a small mental health clinic track?

Start with six to ten. Cover access, engagement, documentation, risk follow-up and collections. A short list reviewed every week beats a long list nobody acts on.

What is a healthy no-show rate for therapy?

No single benchmark fits every clinic. Track your own baseline, split it by service and session type, and check whether reminders and booking changes improve it over time.

Should outcome measures be a clinic KPI?

The rate of outcome measure use can be an operational KPI. Interpreting an individual patient's scores remains a clinical decision for the treating clinician and their supervisor.

How often should leaders review KPIs?

Review operational KPIs weekly, finance KPIs monthly and strategic KPIs quarterly. Each review should end with an owner and an action, not just a chart.
